How do I configure a hunt's payments?

Last updated
Ask hunters at a hunt for a contribution: participation fee, gamekeeper's tip or donation. For each fee, you choose the amount and the accepted methods (bank card, cash on site), then track the payments. Reserved for the hunt's organiser, the hunting ground's administrator or manager, and members with the **Edit all events** permission. Payments only exist for a hunt attached to a hunting ground. ## On mobile ### Create a fee 1. Open the hunt, tap **Manage**, then **Payments** under "Participants". 2. First time, tap **Create a fee**. Otherwise, tap the list icon at the top right, then **Add a fee**. 3. Under "Information", enter the **Label** (required) and, if needed, the **Description (optional)**. 4. Under "Amount", turn on **This is a donation** to let each person choose their amount, or choose **Fixed**, **Suggested** or **Free** and then enter the **Amount (€)** or the **Suggested amount (€)**. 5. Turn on **Required** if the fee is to be flagged as to be paid. The participant's registration isn't blocked by this. 6. Under "Accepted methods", turn on **Bank card**, **Cash / on site**, or both. At least one is required. 7. Tap **Create fee**. ### Edit or delete a fee 1. On the **Payments** page, tap the list icon at the top right. The "Fees" sheet lists the fees, with their amount and the number of payments. 2. Tap a fee: its record opens full-screen. 3. Edit. To stop the fee without deleting it, turn off **Active fee**, under "Amount". When turned off, it is no longer offered to participants and payments already settled are kept. 4. Tap **Save**. 5. To remove the fee, tap **Delete this fee** at the bottom of the record instead, then confirm. A disabled fee appears faded in the "Fees" sheet. The **Active fee** switch only exists when editing: a new fee is active from its creation. ### Track payments 1. Open the hunt, tap **Manage**, then **Payments**. 2. The "Collected" block gives the total amount, the number of settled and pending payments, then the "By card", "In cash", "Expected in cash" and "Available" lines. 3. "To collect" lists the cash announced by the participants. 4. "History" lists every other payment, with their status. 5. At the bottom of the page, **Hunting ground treasury: IBAN and payouts** opens the hunting ground's treasury. ### Record a cash payment 1. Open the hunt, tap **Manage**, then **Payments**. 2. Tap **Record a cash payment** to note a payment received in person. If there are several fees that accept cash, first choose which one in the "Which fee?" menu. 3. Choose the **Participant**. 4. If the fee doesn't set the amount, enter the **Amount (€)**. 5. Leave **Already collected on site** turned on to mark the payment as settled right away. 6. Tap **Save the payment**. ### Record or cancel declared cash 1. Open the hunt, tap **Manage**, then **Payments**. 2. In "To collect", tap **Record payment** on the participant's line to confirm they have paid. In the "Record payment?" window, tap **Record payment**. 3. To cancel their declaration, tap the red cross on the line instead, then **Cancel** in the "Cancel the declaration?" window. In "History", a pending line also has a **Record payment** button when the fee accepts cash. ### Refund a payment 1. Open the hunt, tap **Manage**, then **Payments**. 2. In "History", tap **Refund** on a settled line. The "Refund a payment" sheet opens. 3. Choose the **Refund method**: **Card**, **Cash** or **Bank transfer**. **Card** isn't offered for a payment received in cash. 4. If needed, enter the **Reason (optional)**. 5. Tap **Confirm the refund**. The button shows "Paid out" when the payment has already been included in a payout: it can no longer be refunded. It shows nothing if the payment is disputed. ### Set the hunting ground's default payment methods 1. **Hunting grounds** tab, open the hunting ground, under "Administration", tap **Settings**. 2. Under "Event payments", turn on **Bank card**, **Cash / on site**, or both. 3. Tap **Save changes**. ## On the web ### Add a payment 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. Click **Add a payment**. 3. Enter the **Label** (required) and, if needed, the **Description (optional)**. 4. Turn on **It's a donation** to let each person choose their amount, or choose the **Amount type**: **Fixed**, **Free** or **Suggested**. 5. Enter the **Amount (€)** or the **Suggested amount (€)**. A free or suggested amount also accepts a **Min (€, optional)** and a **Max (€, optional)**. 6. Turn on **Required payment** if the fee is to be flagged as needing payment, without blocking registration. 7. Choose the **Accepted payment methods**: **Bank card**, **Cash / on site**, or both. 8. Click **Add**. ### Edit a payment 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. On the payment's card, click the pencil icon (**Edit**). The "Edit the payment" block opens in place of the card. 3. Edit the fields, then click **Update**. ### Disable or delete a payment 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. To stop a payment without deleting it, use the switch at the top right of its card. The card then shows "Disabled". 3. To delete it, click the bin icon (**Delete**) instead, then **Delete** in the "Delete this payment?" window. ### Track payments 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. At the top of the page, three figures summarise the hunt: "Collected", "Left to collect" and, if you accept card, "Available for payout". The **Request a payout** button appears as soon as an amount is available. 3. Each fee then has its card: the accepted methods, the progress ("4 out of 12 paid"), then the list of payments, starting with those waiting for an action. 4. The **To collect**, **Pending**, **Paid**, **Refunded** and **Cancelled** filters narrow the list; **All** shows everything except cancelled and failed ones. A required fee also lists, among the participants who already have a payment on the hunt, those who have neither paid this fee nor announced a cash payment. The filters only appear if the fee's payments split between at least two of these categories. ### Record a cash payment 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. On the fee's card, click **Cash payment** to note a payment received in person. This button only exists if the fee accepts cash. 3. In the **Participant** list, click the participant. You can search for them by name. 4. If the fee doesn't set the amount, enter the **Amount (€)**. 5. Leave the **Already collected on site** box ticked to mark the payment as settled right away. 6. Click **Save the payment**. The button stays disabled until the participant, and the amount if it is requested, are entered. ### Record or cancel declared cash 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. On a line with the "Cash, expected" status, click **Record payment** to confirm the payment, or **Cancel** to cancel the participant's declaration. A "Pending" line of a fee that accepts cash also has **Record payment**, without **Cancel**. ### Refund a payment 1. Open the hunt, click **Manage the event**, then **Payments** in the left menu (under "CONFIGURATION"). 2. On a line with the "Paid" status, click **Refund**. The "Refund a payment" window opens. 3. Choose the **Refund method**: **Card**, **Cash** or **Bank transfer**. **Card** isn't offered for a payment received in cash. 4. If needed, enter the **Reason (optional)**. 5. Click **Confirm the refund**. The line shows "Paid out" if the payment has already been included in a payout, "Disputed" in case of dispute. ### Set the hunting ground's default payment methods 1. **Hunting grounds** menu, open the hunting ground, then the **Settings** menu. 2. In the **Default payment methods** block, tick **Bank card**, **Cash / on site**, or both. 3. Click **Save**, to the right of the block. ## Good to know - A fee that already has at least one payment, whatever its state, can no longer be deleted. Disable it instead. - On mobile, if a payment on the fee has been settled, the message "This fee already has settled payments: it can no longer be deleted. Disable it instead." is shown. - On mobile, if the fee only has payments in another state (pending, refunded, cancelled), the "Deletion not possible" window shows "Can't delete: data is linked to it." - On the web, the bin is greyed out, with the tooltip "Not possible: payments have already been received". - On the web, once a participant has paid, only the fee's label and description stay editable. - A gamekeeper's tip fee or a participation fee keeps its type: the **It's a donation** switch doesn't appear. - A donation is always at a free amount. - A new fee's methods reuse those set for the hunting ground. With no setting, only bank card is turned on. - The minimum amount for a payment is €0.50. - Mes Chasses charges a commission on card payments. Its rate depends on the hunting ground's plan and is shown on the web, in the "Available for payout" tooltip. Cash stays with you: nothing is charged and nothing is paid out on it. - Sums paid by card, commission deducted, are paid out to the hunting ground's IBAN when you request it. The IBAN is saved in the hunting ground's treasury. - The meal is configured separately, in **Meal**. Its fee appears in Payments in read-only mode, and its payments are tracked there like those of the other fees. - On mobile, tapping the meal fee in the "Fees" sheet opens the meal settings. On the web, the meal fee's card offers **Set in the meal** instead of the switch, the pencil and the bin. ## Troubleshooting - "This fee already has settled payments: it can no longer be deleted" (mobile): a participant has already paid this fee. Open the fee and turn off **Active fee**. - "Can't delete: data is linked to it" (mobile): the fee has a payment that isn't settled, for example pending, refunded or cancelled. Open the fee and turn off **Active fee**. - "The bin is greyed out" (web): a participant has already paid this payment. Use its card's switch to disable it. - "I am not allowed to delete a fee": ask the hunt's organiser, the hunting ground's administrator or a manager to delete it. - "I cannot see Payments in Manage": the hunt isn't attached to any hunting ground, or, on mobile, you are delegated to hunter placement. An impromptu hunt has no payments, and a placement delegate only sees placement: you need the permission to manage the hunt. - "I cannot see the Record a cash payment button" (mobile): no active fee accepts cash. Turn on **Cash / on site** on a fee. - "I cannot see the filters" (web): they only appear if the fee's payments fall under at least two categories. - "Couldn't load the payments." (mobile): the page couldn't read the tracking. Tap **Try again**. - "A card payment is in progress for this person. Try again in half an hour.": the participant started a card payment that isn't finished. Wait for it to expire before recording cash for them. - "The Request a payout button doesn't appear" (web): no fee on the hunt accepts card, or nothing is available yet. Cash is never paid out. ## See also - [How do I pay my participation?
