How do I invite participants?

Last updated
Bring hunters to your hunt: members of the hunting ground, people from your address book, someone new, or an invitation link that you share yourself. On mobile, the **Invite to the hunt** button on the **Manage** screen requires being able to edit the hunt: having created it, being an administrator or manager of the hunting ground, or having the "Edit all events" right. On the web, you must have created the hunt, be an administrator or manager of the hunting ground, or have both the "Invite outside guests" and "Edit all events" rights. On mobile as on the web, the invitation link requires having created the hunt, being an administrator or manager of the hunting ground, or having the "Invite outside guests" right. ## On mobile ### Add people 1. Open the hunt, tap **Manage**, then **Invite to the hunt** at the bottom of the screen. 2. At the top of the page, choose the source: **Member**, **My contacts** or **New**. 3. **Member** (hunting ground hunt): tap **Add** next to a member, or tick several then tap the bottom button, which shows the number of people selected. Each one is registered as a participant, awaiting their reply. 4. **My contacts**: search by name or filter by label, then add one or more people. They are registered as guests of the hunt, unarmed. 5. **New**: enter **First name**, **Last name**, **Email (optional)**, **Phone (optional)** and the **Weapon**, then tap **Add**. The person is registered as a guest of the hunt, armed or not depending on the weapon chosen. Another path: from the **Participants** page, the add icon at the top opens the same page. ### Manage the invitation link 1. On the invitation page, tap the link icon in the top right. 2. A link is created when the page opens if there wasn't one. If you deactivated it, tap **Generate a link** to create a new one. 3. The menu then offers **Share the link**, **Copy the link**, **Show the QR code** and **Deactivate the link**. ## On the web ### Add people 1. Click **Hunting grounds** in the menu, open your hunting ground, then **Hunts** and the hunt. 2. In the **Participants** section, in the left panel, choose **Member** or **My contacts**. 3. Search for the person, then click **+** next to their name. They are registered, awaiting their reply. 4. To invite all the contacts with a given label at once, click **Invite by label** (source **My contacts**). 5. For someone who isn't in any of your lists, click **New person**. They are registered as a guest of the hunt. ### Manage the invitation link 1. Click **Invitation link** at the top of the page. On a narrow screen, only the share icon shows. 2. In the "Manage invitations" window, set a **Limit (people)** and a duration (**Expires in**) if you want. Without a limit, the link is unlimited. The duration goes from 24 hours to 1 year, 1 month by default. 3. Click **Generate**. 4. The link appears in the list in the same window, with **Copy**, **Share** and the bin icon to deactivate it. An expired link, or one that has reached its limit, carries the "Expired" or "Full" marker, and no longer offers **Copy** or **Share**. **Watch the video: inviting with a link and seeing who's coming (35 s, in French)** https://youtu.be/bqcikNeczc8 ## Good to know - The invitation link works for people without an account. You share it yourself: Mes Chasses sends neither an SMS nor an email for this link. - On the web, a link's **Reference email (optional)** only serves to find it in the list. No email is sent, and anyone who receives the link can use it. Links tied to an email are hidden by default: tick **Show links with email** to see them. - On mobile, **My contacts** and **New** register guests of the hunt. On the web, it is **New person**. If you are registered for the hunt, you are their host. Otherwise, they are added without a host: this type of adding is reserved for people who can edit the hunt. - A guest without a host doesn't count against any participant's quota. On the web, the people who manage participants see "No host" instead of "Invited by" in the participant list. On mobile, the participant's record shows it on the "Invited by" line. To give them a host, follow [How do I bring an armed or unarmed guest?](article:how-do-i-bring-an-armed-or-unarmed-guest), section "Organiser: change a guest's host". - On the web, the add panel only appears to the person who created the hunt, who is an administrator or manager of the hunting ground, or who has the "Invite outside guests" right. With that right alone, you see the lists and the invitation link, but the **+** button doesn't appear. ## What the added person receives A person registered awaiting a reply is notified: - with an account: a notification in the app and an email, even if they have turned off their emails in their preferences: the invitation is a required communication; - without an account, but with a known email address: an email; - without an account or email: nothing goes out. Send them the invitation link. ## When adding guests is turned off The hunt's **Guests allowed** setting only limits the guests that participants bring themselves. ### On mobile: you can edit the hunt On mobile, you have created the hunt, you are an administrator or manager of the hunting ground, or you have the "Edit all events" right. Nothing changes for you, whether **Guests allowed** is on or off. - **My contacts** and **New** are still offered. - You can add these guests even if you aren't registered for the hunt: they are then without a host. ### On the web: you can edit the hunt On the web, you have created the hunt, you are an administrator or manager of the hunting ground, or you have both the "Invite outside guests" and "Edit all events" rights. Nothing changes for you, whether **Guests allowed** is on or off. - **New person** is still offered, and you can add this guest even if you aren't registered for the hunt: they are then without a host. - **My contacts** stays offered, and the person chosen there is always registered as a participant, never as a guest. ### The invitation link On a published hunt, the invitation link stays usable, whether **Guests allowed** is on or off. ## When the hunt is still a draft You can add people: they appear in the participant list, but their invitation only goes out at publication. A note recalls this at the point of adding: "The people added will receive their invitation when the hunt is published." ### Add people on mobile On a draft hunt, the **Invite to the hunt** button of the **Manage** screen is replaced with the note "Publish the hunt to invite". 1. Open the hunt, tap **Manage**, then **Participants**. 2. Tap the add icon at the top of the page ("Invite someone"). 3. Choose the source at the top of the page. With **Member** or **My contacts**, tap **Add** next to a person. With **New**, fill in the form, then tap **Add**. ### A draft's invitation link The invitation link is blocked: it can neither be created nor opened. The note "Publish the hunt to invite" replaces the "invite" action: - on mobile, in the **Manage** screen, instead of the **Invite to the hunt** button; - on mobile, at the top of the invitation page; - on the web, on the "Invitation link" line of the "Control" card (**Info & registration** tab); - on the web, in the "Manage invitations" window, opened by the **Invitation link** button at the top of the page. On the web, click **Publish the event** in the "Control" card to open it. ## When the hunt is cancelled On a cancelled hunt, the invitation link is closed: it can neither be created nor opened. The note "Hunt cancelled: invitations closed" replaces the "invite" action: - on mobile, in the **Manage** screen, instead of the **Invite to the hunt** button; - on mobile, on the invitation page opened from **Participants**: the link icon in the top right disappears and the note shows at the top of the page; - on the web, on the "Invitation link" line of the "Control" card (**Info & registration** tab); - on the web, in the "Manage invitations" window, instead of the creation form. Adding people from the lists (**Member**, **My contacts**, **New** on mobile; add panel on the web) stays possible. ## If something goes wrong - "This contact is already registered for the event.": the person already appears in the participant list. - "I can no longer find Invite to the hunt": the hunt is still a draft, the button gives way to "Publish the hunt to invite". - "I can no longer create an invitation link, and I read "Hunt cancelled: invitations closed"": the hunt has been cancelled, the invitation link is closed. ## See also - [How do I manage replies to a hunt?](article:how-do-i-manage-replies-to-a-hunt) - [How do I use the address book?](article:how-do-i-use-the-address-book) - [How do I bring an armed or unarmed guest?](article:how-do-i-bring-an-armed-or-unarmed-guest) - [Draft and published: a hunt's status](article:draft-and-published-a-hunts-status)
