How do I send a message to the members of my hunting ground?

Last updated
Send a message to all the members of your hunting ground, or to some of them, and track how many received and opened it. The administrator and managers of the hunting ground can send messages. A syndicate member or member can if the administrator or a manager has turned on the **Send communications** permission (under the "Hunting ground settings" category) for their role: it then applies to every syndicate member, or to every member, of the hunting ground. ## On mobile Writing a message is only available on the web. On mobile, you view messages that have already been sent. 1. **Hunting grounds** tab, open the hunting ground. 2. Under "Administration", tap **Communications**. Each sent message shows its date, sender, number of recipients, received count and opened count. Below the list, a line reminds you of the number of drafts and templates to pick up from the website. It only appears if there is at least one sent message and at least one draft or template. ## On the web ### Writing and sending a message 1. Click **Hunting grounds**, open the hunting ground, then **Communications** (under "ADMINISTRATION"). 2. Click **New message**. 3. Enter the **Subject**. It becomes the email subject and the notification title. 4. Write the text in **Paragraph 1**. Click **Add a paragraph** to add another. 5. To attach a hunt, a calendar event or a document, click **Hunt**, **Calendar** or **Document** to the right of "Insert:", then choose the item. 6. To attach a link, click **Link**, enter the **Link address**, which starts with http:// or https://, then click **Insert the link**. The **Display text** field (optional) provides the link text in the message. Without text, the address itself is displayed. A text that looks like a web address, for example "app.meschasses.com", is replaced by the actual link address. 7. The arrows on each block change its order; the bin removes it. 8. Under "Recipients by role", tick **Administrator**, **Managers**, **Syndicate members** or **Members**. To target a specific person, type their name in **Add named members**, then click their name. 9. Read the audience line: "N recipients - N will receive the email - N have turned it off (they will read it in the app) - N without an address". 10. Click **Preview** to review the message. 11. In the "Message preview" window, click **Send me a copy** if you want to receive it by email before sending. 12. Click **Close** to close the preview and return to the message. 13. Click **Send**. The "Send this message?" window opens. 14. Click **Send now**. The "Message sent" window gives the report. 15. Click **Done**. ### Keeping a draft or a template 1. In the message, click **Save draft** or **Save as template**. The **Template name** field is optional. Recipients aren't required to save. The "Draft saved" or "Template saved" message appears, and the message stays open. 2. Click **Back to the list**. 3. In the list, messages are sorted under "Templates", "Drafts" and "Sent". 4. Click **Edit** to resume a template or a draft, or **Duplicate** to make a new draft from it. 5. To delete a message, click the bin, then **Delete** in the "Delete this message?" window. A template that you open and then send stays under "Templates": the message is sent from a copy. ### Seeing who received a message Under "Sent", each message shows "Sent on ... by ..." and "N recipients - N received - N opened". A sent message can no longer be edited. ## What recipients receive Each recipient receives the message in their notifications, with the subject as the title. They also receive it by email, unless they have turned off emails (either globally or for this hunting ground). Recipients are the active members whose role you ticked, plus the people you named. In the paragraphs, four variables are replaced for each recipient: `{{prenom}}`, `{{nom}}`, `{{territoire}}` and `{{role}}`. In the subject, they don't work. ## Good to know - Sending is final. Deleting a sent message removes it from your history, but recipients keep their notification. - A hunting ground can send 5 messages per 7-day period. - A block whose target has been deleted isn't sent. The report says: "N block(s) were omitted: their targets no longer exist." - A misspelt variable, for example `{{ prenom }}` with spaces, is sent as-is. The screen warns you before sending. ## Troubleshooting - "I cannot see Communications": you don't have the **Send communications** permission. Ask the administrator or a manager of the hunting ground. - "I cannot write on mobile": writing is only available on the web. - "Limit reached: 5 communications maximum per period for this hunting ground": the hunting ground has already sent 5 messages in the current 7-day period. Wait for the period to end. - "No recipients: tick at least one role or select some members": choose at least one role or person. - "The message is empty: add at least one paragraph": write some text, or attach an item. - "The communication subject is required": fill in the **Subject** field. - "Variables such as {{prenom}} only work in the message, not in the subject.": move the variable into a paragraph. ## See also - [How do I understand roles and permissions?](article:how-do-i-understand-roles-and-permissions) - [How do I set up my notifications?](article:how-do-i-set-my-notifications) - [How do I manage the member list of my hunting ground?](article:how-do-i-manage-the-member-list-of-my-hunting-ground)
