How do I cancel or delete a hunt?

Last updated
Cancelling a hunt marks it "Cancelled" and keeps it visible in the history. Deleting it makes it disappear for everyone, along with its data. The rights to cancel and to delete aren't the same: each path spells them out at the start. Some hunts can't be deleted at all, because they're part of the hunting ground's history: see "Hunts that can no longer be deleted" below. ## On mobile ### Cancel the hunt To cancel, you must be able to edit the hunt: be its creator, be the administrator or a manager of the hunting ground, or hold the **Edit all events** permission. 1. Open the hunt, then tap **Manage** at the top of the screen. 2. Tap the "⋯" menu at the top right, then **Cancel the event**. 3. The message reads: "The event will be marked as cancelled. It will stay visible in the history, but participants will no longer be able to register or join." Confirm with **Cancel the event**. The entry disappears from the menu once the hunt is cancelled. ### Delete the hunt To delete, you must be the hunt's creator, the administrator or a manager of the hunting ground, or hold the **Delete all events** permission. You must also be able to edit the hunt, because deletion goes through **Manage**: the **Delete all events** permission on its own isn't enough. 1. Open the hunt, then tap **Manage**. 2. Tap the "⋯" menu, then **Delete the event**. 3. Pick **Delete and notify participants**, which sends a cancellation by email and notification, or **Delete without notifying**, which sends nothing. ### Delete an immediate hunt An immediate hunt has no hunting ground: its creator deletes it. 1. **Hunts** tab, then open the hunt. 2. Tap **Manage** at the top of the screen. 3. Tap the "⋯" menu at the top right, then **Delete the event**. 4. Pick **Delete and notify participants** or **Delete without notifying**. ## On the web Cancellation only works on the mobile app. The web lets you delete a hunt. The rights are the same as for deletion on mobile: you must be able to edit the hunt, and be its creator, the administrator or a manager of the hunting ground, or hold the **Delete all events** permission. 1. Open the hunt, then click **Manage the event**. 2. In the left menu, click **Settings**. 3. At the bottom, in the "Danger zone" section, click **Delete this event**. This section doesn't appear on a hunt that is part of the hunting ground's history. 4. Click **Confirm** to notify the participants, or **Delete without notifying**. The hunt's creator can delete it this way, whatever their role on the hunting ground. An immediate hunt can't be deleted on the web. ## Hunts that can no longer be deleted A hunt that took place stays in the hunting ground's history. Nobody can delete it: not its creator, not the administrator, not a manager. This applies as soon as all three conditions are met: - the day of the hunt has ended; - it was published, even if it was cancelled afterwards; - at least one participant was registered (answer "Confirmed", "Present" or "Absent"). Guests who never answered and those who declined don't count. A hunt that carries a harvest can't be deleted either, whatever its date: an animal marked "Harvested", or a tag attached or validated. That keeps the hunting plan and the game tally accurate. On these hunts, the **Delete the event** entry no longer appears on mobile, and neither does the "Danger zone" on the web. You can still open and view them. Drafts, upcoming hunts and past hunts with no registered hunter and no harvest can be deleted as before. A hunt from the history really needs to go (duplicate, data entry mistake)? Write to support. ## What happens next A cancelled hunt: - moves to the "Cancelled" status and stays visible in the history; - no longer takes answers from participants or from hunting ground members, even from their app; - can't be reopened; - no longer counts against the monthly hunt limit of the Discovery plan: its slot is freed; - is no longer offered as the next hunt and is no longer counted among upcoming hunts; - notifies registered hunters who have an account and whose answer is "Confirmed" or "Pending", along with the administrator and managers of the hunting ground. Syndicate members and members are notified only if they hold the **Take part in all events** permission. Registered hunters without an account who have an email address get an email; - no longer shows a button to pay on the mobile app, and takes no new payment from participants, by card or in cash, including for a guest. The organiser can still record cash received. A payment already made stays in place; - closes the invitation link: it can neither be created nor opened. On mobile, "Hunt cancelled: invitations closed" replaces the "invite" action; - closes invitation reminders. On mobile, **Remind** stays greyed out, with the note "Hunt cancelled: no more reminders possible."; - no longer has an attendance sheet: the entry disappears from the hunt page. On mobile, in **Documents**, opening it shows the message "This hunt is cancelled: no attendance sheet." A deleted hunt disappears for everyone, along with its data: results, photos, participants. By default, participants get a cancellation; **Delete without notifying** sends nothing. Deleting a hunt that has already been cancelled doesn't notify a second time. In both cases, payments already received aren't refunded automatically. To refund a payment, see [How do I set up payments for a hunt?](article:how-do-i-configure-a-hunts-payments). Cancelling or deleting a draft that has never been published notifies no one. A hunt published and then moved back to draft notifies its registered hunters, like a published hunt: see [Draft and published: a hunt's status](article:draft-and-published-a-hunts-status). ### What a participant sees on the web On the web, the hunt page shows "Hunt cancelled" at the top, with the text "The organiser has cancelled this hunt. Answers are no longer accepted." No button lets you answer or change your answer; an answer already given stays visible. In the organiser's "Control" card, the "Registrations" row disappears and the status shows "Cancelled". ## Troubleshooting - "I don't see Cancel the event": cancellation goes through mobile, from **Manage**, "⋯" menu. If the entry isn't there, the hunt is already cancelled or you don't have the right to edit it. - "I don't see Delete the event" on mobile: the entry only appears if you have the right to delete the hunt, and never on a hunt from the hunting ground's history (see "Hunts that can no longer be deleted"). You must be its creator, the administrator or a manager of the hunting ground, or hold the **Delete all events** permission. **Edit all events** isn't enough, and **Delete all events** on its own isn't enough either: the "⋯" menu itself only appears for someone who can edit the hunt. - "I don't see the Manage the event button on the web": it only appears if you can edit the hunt, and never for an immediate hunt. For that, delete it from the mobile app. - "You don't have permission to delete this event": you didn't create the hunt, you are neither administrator nor manager of the hunting ground, and you don't hold the **Delete all events** permission. Holding only **Edit all events** isn't enough. Ask the creator, the administrator or a manager of the hunting ground, or ask for the **Delete all events** permission to be granted to you. - "This hunt is part of the hunting ground's history: it can no longer be deleted": the hunt took place or carries a harvest. It stays in the history; write to support if it's a duplicate or a mistake. - "Deletion failed" (mobile): the message that follows gives the reason. Most often, it is a missing right. - "I deleted by mistake": nothing in the app restores a deleted hunt. Write to support. ## See also - [How do I edit a hunt?](article:how-do-i-edit-a-hunt) - [Roles and permissions](article:roles-and-permissions) - [How do I create an immediate hunt?](article:how-do-i-create-an-immediate-hunt) - [How do I set up payments for a hunt?](article:how-do-i-configure-a-hunts-payments)
