Each member's record on your hunting ground shows their hunting licence: licence number, validation, season, insurance, with a status badge. What you can do depends on one thing: whether the member has a Mes Chasses account linked to their record or not.
Only the administrator and managers of the hunting ground can see and edit a member's licence. The permission to manage members isn't enough.
## On mobile
### Entering the licence of a member without an account
1. **Hunting grounds** tab, tap the hunting ground. Under "Administration", tap **Members**.
2. Tap the member, then the pencil icon at the top of the screen.
3. In the "Hunting licence" section, tap **Add a licence** (or **Edit the licence** if one already exists).
4. For a new licence, choose **Scan a document** (photo, image or PDF) or **Enter manually**.
5. Review or fill in the form, then tap **Save the licence**.
The licence is saved straight away, without saving the record.
### Completing the licence from a hunt's participants
1. Open the hunt, tap **Manage**, then **Participants**.
2. Tap the hunter.
3. Under "Licence & validation", tap **Enter the licence** (or **Edit the licence**).
4. Fill in the form and confirm. The licence is saved straight away.
This button appears for a person without a Mes Chasses account. Their record must be in your address book or in a hunting ground you manage. When the licence details aren't shown to you, the button reads **View or edit the licence**.
In other cases, the record shows a sentence instead of the button:
- Person with an account: "This person has an account: they enter their licence themselves, from their account."
- Member of a hunting ground you don't manage: "Only the administrator and managers of the hunting ground can enter the licence of this member."
- Record from another person's address book, including a guest brought by another member: "This record belongs to the address book of the person who added it. Only they can enter the licence."
### Removing the licence of a member without an account
1. Open the member's record, then the pencil icon.
2. Tap **Remove the licence**, then **Remove**. The licence is deleted straight away.

### Participant whose licence can't be entered here
- Person with an account: the licence is read-only; they keep it up to date from their account.
- Record stored in another organiser's address book, including a guest brought by another member: **Edit** opens a form without a licence section, with this message: "This record is stored in another organiser's address book. Your changes will also appear there. The licence, however, can only be edited by that organiser."
- Member of a hunting ground you don't manage: the record stays read-only, with no **Edit** button.
### Removing the licence of a member without an account
1. Open the member's record, then click **Edit**.
2. Click **Remove the licence** and confirm.
3. Click **Save**. The licence is deleted at that point.
## What the form contains
It is the same form as for your own licence, in three parts.
- **The licence**: the **Country**, the **Issued on** date, the licence number (the only required field), then, for a hunting ground member, the **Holder** if you know it.
- **The validation**, if you have it (**Add a validation**): scope (departmental or national), duration, season or first day, validation number, and the departments for an annual departmental validation. The validation number is required. A validation that has been started must be filled in completely before it can be saved.
- **Insurance**: the certificate number is required; the insurer is optional. There is no end date to enter: the scan reads it if it is printed, otherwise the insurance runs until the end of the current season, 30 June.
- On the web, the button reads **Add insurance**.
- On mobile, the button reads **Add insurance**.
After a scan, the fields are already filled in: review them before saving. For a contact from your address book, the form is the same, without the **Holder** field.
## A member with an account: their licence as read-only
Once a member's record is linked to their Mes Chasses account, you can no longer edit their licence. The **Add a licence** and **Edit the licence** buttons no longer appear. They keep it up to date themselves, from their account.
Their record shows the licence they declared in their account. As long as they haven't declared one, it shows the one you entered, if any. The account's licence always takes priority over yours, even if it is expired.
On the web, a note explains that the licence is managed by the member from their account. If no licence is known, the record shows "This member has not yet entered their licence in their account."
On mobile, the "Licence & weapons" section of the record shows a dash in empty fields.
You see this licence as long as the person is an active member of the hunting ground. After they leave or are removed, the record shows "This licence is only visible as long as the person is an active member of the hunting ground."
### When a member without an account creates their account
You had entered their licence, then the person creates their account and their record is linked to it. Your entry remains displayed, but you can no longer edit it. Once they declare their own licence, the record shows the one from their account.
## The status badges
On the web, the member's record shows a badge above the licence:
- "Valid";
- "Expiring soon (D-12)", with the number of remaining days counting down, when the end of the validation is 30 days away or less;
- "Expired";
- "Revoked" or "Suspended", depending on the licence status;
- "Validation to check", when the validation was filled in automatically without a number (see [Why is my validation "to check"?](article:why-is-my-validation-to-check)). The "Season" line then shows "To check".
On mobile, the same badge appears in the licence section of the edit screen for a member without an account: "Valid licence", "Valid: 12 days remaining" ("Valid: 1 day remaining" for one day), shown at 30 days or less, "Licence expired", "Invalid licence" or "Validation to check".
In the **Members** list, each member also has a dot showing whether the licence is complete (on mobile, on their row; on the web, in the **Licence** column of the table): "Licence OK" when the licence number, the validation number and the insurance are all filled in, "Licence incomplete" if any is missing, "No licence" if there is none. "Private licence" indicates a member with an account who is no longer an active member of the hunting ground.
## The IDGU
The IDGU (single-counter identifier) is a 14-digit number printed below the barcode on the validation certificate. It stays the same from season to season, unlike the validation number. You don't need to enter it: the scan reads it and Mes Chasses keeps it.
A 14-digit number isn't accepted as a validation number: the form shows "This number is the IDGU (14 digits). Enter the validation certificate number, printed after 'No.'."
## Troubleshooting
- "I cannot see this member's licence": only the administrator and managers see a member's licence. If the record shows "This licence is only visible as long as the person is an active member of the hunting ground.", this member is no longer an active member.
- "I can no longer edit this member's licence": their record is linked to their Mes Chasses account. They manage their licence from their account.
- "Some fields need correcting before saving." (on the web): a validation that has been started is incomplete, or an insurance entry is missing its certificate number. Fill it in, or remove it with **Remove the validation** or **Remove insurance**.
- "I don't know which field to correct" (on mobile): the field that needs correcting is indicated below its box. To remove a validation or insurance, tap **Remove** in its section.
- On mobile, "The Enter the licence button does not appear in the hunt": the person has an account, their record belongs to another person's address book, or they are a member of a hunting ground you don't manage. The record shows the sentence explaining why.
- On the web, "I cannot find where to enter a participant's licence": the licence of a person who has an account can't be entered; they keep it up to date from their account.
- Contact in your address book who has an account: the **Edit** form shows their licence as read-only, under "Licence & insurance". If their licence isn't readable by you, the section instead shows: "This licence stays private. You will see it if the person comes to a hunt you organise: as soon as they confirm themselves, or from the day of the hunt if you have confirmed them yourself, and until the day after the hunt."
- Hunting ground member who has an account: the **Edit** form has no licence section.
- Record stored in another organiser's address book: the **Edit** form has no licence section. Only the organiser who holds this record can enter the licence.
- On the web, "I do not have an Edit button on a participant's record": they are a member of a hunting ground you don't manage. The record stays read-only.
