How do I remind hunters about their licence?

Last updated
A hunter hasn't got their licence, validation or insurance in order for the day of the hunt? Send them a reminder from Mes Chasses rather than writing to them yourself. They get a link to fill everything in, and you can see where they stand. To send a reminder, you must have created the hunt, or be the administrator or a manager of the hunting ground. A hunter who has brought an armed guest can also remind that guest. ## On mobile ### Organiser: remind hunters about their licence 1. Open the hunt, tap **Manage**, then **Licence compliance** in the "Participants" section. 2. **Remind everyone** sits below the **All** and **Issues** filters. Tap it. 3. A confirmation shows how many hunters will get a link. Tap **Remind**. For a single person, tap **Remind** on their card. Hunters already compliant have no button. After sending, a "Reminder" alert sums up what was sent, for example: "4 hunters reminded, 2 without email, 1 already reminded today". With no one to remind, it shows "Nobody to remind". ### Host: remind your own armed guest You have brought an armed guest to the hunt and their licence isn't in order? No need to go through the organiser. Available from version 4.2.9 of the app. 1. Open the hunt, **Information** tab. 2. In the "My guests" section, tap your guest to open their card. 3. Tap **Remind about the licence**. An alert gives the outcome: reminder sent, or the reason nothing was sent. If sending fails, the message "The reminder did not go out. Try again in a moment." appears in the card. ## On the web ### Organiser: remind hunters about their licence 1. Open the hunt, then the **Licence checks** section in the left menu. 2. **Remind everyone** sits in the toolbar, next to the search box. Click it. 3. A confirmation shows how many hunters will get a link. Click **Remind**. For a single person, click **Remind** in the "Reminder" column on their row. The filters "All", "Issues", "To watch" and "Compliant", each followed by the number of hunters, help you find your way. After sending, a message sums up what was sent, for example: "4 hunters reminded, 2 without email, 1 already reminded today". With no one to remind, it shows "Nobody to remind". ### Host: remind your own armed guest You have brought an armed guest to the hunt and their licence isn't in order? No need to go through the organiser. 1. Open the hunt. 2. In the "My guests" section, click **Remind about the licence** on your guest's row. An on-screen message gives the outcome: reminder sent, or the reason nothing was sent. ## Good to know ### Who gets reminded **Remind everyone** writes to confirmed or present hunters whose licence needs completing and who have an email address or an account. Unarmed guests and people registered without a weapon aren't included, nor are those already compliant. A licence still valid on the day of the hunt, but whose validity or insurance ends less than 7 days after the hunt, isn't included either. To remind them anyway, use the button on their row. A hunter can only be reminded once every 24 hours. Their button is then greyed out, and the row shows "Reminded on" followed by the date. If you remind everyone twice in the same day, the second time sends nothing to those who already got it, and the message says so. When the hunter has sent their documents but their licence is still not in order, the row shows "Completed on" followed by the date, instead of "Reminded on". When the licence is in order, the row no longer shows a button or note. ### What a reminder to your guest sends If your guest has an account, they get a notification and an email. Otherwise, they get an email with a link. The email carries your name. One reminder per guest every 24 hours, whether it comes from you or from the organiser, and nothing more from the day after the hunt at 0:00. You can only remind your own guests. The **Remind about the licence** button only appears for an armed guest, and only if you have confirmed your attendance. ### What the hunter gets An email whose subject begins with "Complete your licence for the hunt on", followed by the date. It says what is missing, for example valid insurance for the day of the hunt, and carries a link to a Mes Chasses page. On this page, two choices: **Scan my licence**, marked "Recommended", to send a document as a photo or PDF, or **Enter manually**. If a licence is already saved, the page shows it under "Already saved" and says "Leave empty whatever is already up to date: we'll keep it." - **Scan my licence**: the hunter picks their document, the reading happens on its own, then they confirm with **Continue**. A summary of what was read appears. They send it with **Send**. - **Enter manually**: the "My hunting documents" form opens. It ends with **Send**, and **Back** returns to the choice. The hunter doesn't need an account. Photos sent are kept for 30 days at most, only to check the quality of the automatic reading, then erased. If they have an account, they get the reminder as a notification and by email, even if they have turned off their notifications: this reminder always goes through. The link takes them straight to their licence, in the app if it is installed, otherwise on the website after signing in. If someone signs in with an account other than their own, the page tells them and changes nothing. ### When a hunter without an account has answered The person who created the hunt gets the "Licence completed" notification, as does the person who added them as a guest, if there is one. It is a notification only, without email, and each person can turn it off in their settings. A manager who didn't create the hunt doesn't get it. ### A hunter without an email address or account They can't receive a reminder, but they still have a link. - On the web, click **Copy the link** on their row, then paste it into an SMS or WhatsApp message. - On mobile, tap **Share the link** on their card. The share sheet opens with a message already written: "Hi John, I'm missing your licence for the hunt. You can complete it here:" followed by the link. This link is personal. Send it only to that hunter. ### How long the link stays valid Until the end of the day after the hunt. After that, the page shows "This link has expired: the hunt has ended.", and the reminder buttons are greyed out. Mobile and web both explain it: "This hunt has ended or was cancelled: the reminder links no longer work." ### Don't confuse it with the guest reminder The **Remind** button in the **Participants** tab opens "Remind guests" on the web: that one is a reminder to answer the invitation, and it has nothing to do with licences. ## Troubleshooting ### When you remind your own guest - "Your guest was reminded less than 24 hours ago. You will be able to try again tomorrow." (web): this message appears on screen. Try again once 24 hours have passed. - "Already reminded" (mobile): alert carrying the same message. Try again once 24 hours have passed. - "Add your guest's email with "Edit guest", then remind them." (web): your guest has no email and no account. This message appears on screen. Add their email, then remind them. - "Email missing" (mobile): alert carrying the same message, because your guest has no email and no account. Add their email, then remind them. - "Your guest's licence is already in order for this hunt" (web): there is nothing to remind. This message appears on screen. - "Nothing to remind" (mobile): alert carrying the same message. Your guest's licence is already in order. - "The reminder did not go out. Try again in a moment." (mobile): sending failed. This message appears in the guest's card. Try again shortly. - "The reminder did not go out. Try again in a moment." (web): sending failed. This message appears on screen. Try again shortly. - "I don't see the Remind about the licence button": it only appears for an armed guest, and it disappears when the hunt is cancelled, or from the day after the hunt at 0:00. ### When you remind as an organiser, or when the hunter opens their link - "This hunt has ended or was cancelled. The link would no longer lead anywhere.": the link has expired, there is nothing left to send. - "You have reached the limit of 10 attempts per day with this link. Try again tomorrow.": message seen by a hunter who got it wrong too many times on the page. - "This licence number is already saved for another hunter. Check it or contact the organiser.": the hunter entered a number already on file for someone else. Check it with them. ## See also - [How do I manage a member's licence?](article:how-do-i-manage-a-members-hunting-licence) - [How do I bring an armed or unarmed guest?](article:how-do-i-bring-an-armed-or-unarmed-guest) - [How do I scan my hunting licence?](article:how-do-i-scan-my-hunting-licence) - [How do I manage responses to a hunt?](article:how-do-i-manage-replies-to-a-hunt)
